Events are approved by VT-ARC and the Government sponsors for our collaboration centers. In order for an event to be approved, it must be a mission fit to the sponsor and be compliant with our facility policies. Please allow several business days for us to process your request. You will receive formal notification upon approval.
The BRICC PIA offers marketing services to highlight the activities and achievements of our partners. Our staff will connect with you to ask about marketing and, with your input, will post approved releasable information and photos on social media.
We have a limited ability to support catering requests due to restrictions on our contract. Use of the BRICC Cafe is on a voluntary, self-funded basis.
Policies
Our collaboration centers may only be used for activities with an approved technology transition and transfer (T3) purpose. Our staff will collect information from you to help us better understand your T3 needs when you request an event space and will also follow up with you after your event is completed. Events will not be approved without a T3 purpose.
In our position as a Partnership Intermediary, VT-ARC is pleased to offer a variety of resources to help you connect with Government, Industry, Non-Profits, and Academic partners who can help you achieve your technology objectives. In order to be a good partner for you, our staff will visit your event or meet with a designated POC to discuss what we can do to support or enable your related T3 efforts.
Our collaboration centers and staff are trained to support events at the unclassified, Controlled Unclassified Information (CUI), For Official Use Only (FOUO), and Secret levels. The meeting sponsor and their designated POC will be responsible for confirming that event guests have an appropriate need-to-know for any information discussed in an event. VT-ARC will assist with confirming clearances for classified events. Hosting an event in one of our collaboration centers affirms your understanding and consent to share information with our staff. We will work with the meeting sponsor and their designated POC to ensure that any information or records (notes, photos, etc.) are protected to the required level and controlled for distribution as required.
Please allow a minimum of five (5) business days for us to process classified event requests and visitor clearances. Guests for whom we are unable to confirm appropriate clearance will not be permitted to attend the classified event. Requests related to classified IT may take several weeks to review with our company ISSM, so please reach out early if this is desired.
Our contractual and security policies apply to all PIA collaboration centers and require us to maintain a visitor log of daily guests in our facilities. Please plan to check in upon arrival with the appropriate documentation, identification, and/or clearance verification for your hosted event. Registering in advance will facilitate a rapid check in.
The BRICC PIA has a zero tolerance policy for aggressive, disruptive, or hostile behavior towards our staff or our guests. At VT-ARC's sole discretion, any inappropriate behavior will result in immediate removal from the facility.
Personal (or appropriate organizational) devices are permitted for all unclassified, CUI, or FOUO meetings. However, our staff cannot guarantee that your device will be able to connect to the facility AV systems, and there is limited troubleshooting on site. VT-ARC is not responsible for BYOD equipment.
All Collaboration Centers in the National Capitol Region follow the same operating status as Government facilities as determined by OPM. The Innovation Hub in Colorado uses the same operating status as Peterson SFB.
